Updated 17 October 2026. This notice explains how xmadar handles personal data when you use our website, purchase services, or contact support. Contact us through a support ticket in your account or the website contact page.
Information and purposes
We handle account and business contact details, billing and payment references, service configuration, support correspondence and technical logs. We use these to supply contracted services, administer accounts, comply with applicable legal obligations and protect systems against abuse. We rely on contract, legal obligations, legitimate interests in security and service administration, or consent where required.
Hosting and customer content
When hosting or managing your data on your instructions, we act as a processor for that activity. You remain responsible for lawful collection and instructions. The service-specific data processing terms should identify the processing, security measures, subprocessors, assistance and deletion arrangements before sensitive or regulated data is supplied.
Payments and third parties
Payment providers process payment details under their own notices. Do not send full card numbers or passwords through support messages. Infrastructure, communications, security and support suppliers may receive the data needed for their role. We may disclose information where lawfully required. Ask support for the providers and locations relevant to your service and the safeguards applicable to international transfers.
Software licensing and AI integrations
Licence activation sends the activation code, domain, installation directory and addon version to xmadar. The licensing server records the connecting server IP, first activation and last verification time. An AI integration may send the information involved in tools you authorise to the AI provider you connect. Review permissions and that provider’s privacy terms before use; grant only the access needed.
Cookies and communications
Necessary cookies support authentication, security and preferences. Optional analytics or advertising cookies require consent where applicable. Use cookie preferences to change optional choices. Marketing consent can be withdrawn; essential account, billing and security messages may still be necessary.
Retention and security
We retain information for the period needed to supply the service, meet legal requirements, resolve disputes and maintain proportionate security records. Service termination does not necessarily erase legally required billing records immediately. Backup and return/deletion arrangements depend on the purchased service and its agreed retention schedule. We use appropriate safeguards, but no system can guarantee absolute security.
Your rights
Subject to applicable law, you may request access, correction, deletion, restriction, portability, object to certain processing or withdraw consent. Contact support and identify the request; proportionate identity verification may be necessary. We explain applicable exceptions. You may complain to the UK Information Commissioner at https://ico.org.uk/make-a-complaint/ and to another competent authority where applicable. Changes to this notice will be dated on this page.
